SJAMHA is seeking an administrative assistant to assist board members with a variety of administrative tasks throughout the season.

Description

Reporting to the SJAMHA President and Vice Presidents, the SJMAHA Administrative Assistant’s duties will include:

Pre-Season: May-August

  • Apply for The First Shift Program and help administer Hockey Manitoba and Hockey Winnipeg special programs
  • Submit grant applications for Green Team and any other development grants

Season Start-Up: September-November

  • Work with families on subsidy applications: complete and submit to Greater Council of Winnipeg Community Centers (GCWCC) those who qualify and work with families who don’t qualify for GCWCC to ensure kids can play
  • Answer questions about registration, Respect in Sport, evaluations etc.
  • Provide assistance to coaches and managers with certification requirements, player call up procedure, banking, fundraising etc.
  • Collect coaches packages from Hockey Winnipeg
  • Help set up team formation meetings and coaches meetings
  • Attend team formation meeting and create team rosters for conveners and coaches
  • Complete Child Abuse Registry forms and Criminal Record Checks for all coaches and bench staff listed on roster, submit to Hockey Winnipeg
  • Assist to schedule U9 Development Zone Instructors (if required)
  • Assist Registrar in reminding coaches who need to complete certification and parents who have yet to complete Respect in Sport for Parents
  • Assist Registrar in following up with parents regarding outstanding registration fees
  • Work with Equipment Manager to order evaluation numbers or ensure evaluation jerseys are prepared for evaluations
  • Work with Equipment Manager to distribute jerseys and socks
  • Provide team managers or coaches with letters to open bank accounts or for fundraising Throughout Season: September-April
  • Respond to and redirect general information emails
  • Work with Director of Communication and Webmaster to keep parents informed of any SJAMHA, Hockey Wpg, Hockey MB correspondence
  • Assist Ice Scheduler and coaches in finding practice ice
  • Keep coaches updated with changes to health protocols at each rink
  • Assist VPs of Male and Female hockey with major tasks
  • Work with local businesses re: sponsorship for website and boards at Allard Arena
  • Help AA Canadians with correspondence, 4 X 4 camp, U11 Pathways etc
  • Work with St. James Jr Canucks re: partnering and holding an SJAMHA night
  • Work with Winnipeg Ice re: Canucks and Rockets night

End of Season February-April

  • Help set up playoff meetings
  • Collect playoff packages, medals, banners from Hockey Winnipeg
  • Provide playoff ‘host’ with expectations and the required duties
  • Work with Equipment Manager to collect jerseys

Conditions of Employment

  • Strong organizational and written and spoken communication skills required
  • Experience with managing email, spreadsheets and electronic documents required
  • Must be available to attend occasional evening or weekend meetings as required
  • Knowledge of SJAMHA hockey programs and minor hockey in general an asset
  • $25.00 per hour, maximum 120 hours (maximum earnings $3,000)
